E-filing Information Returns for the First Time?
W2/1099 E-file Add-onIf you plan on using W2/1099 and its e-file add-on to e-file W2s and/or 1099s for the first time, make sure you have the following:

To e-file Forms W-2 via Social Security's Business Services Online:

To e-file Forms 1099 via the IRS FIRE System:

  • an EIN (file Form SS-4) and
  • a TCC (file Form 4419 online via FIRE System)

The IRS advises you to apply for a TCC at least 45 days before you plan to file (but see following "Attention"). Passwords for both Social Security and IRS web sites must be changed at least every 90 days to keep them from expiring. Users are advised to change their passwords early to avoid any problems.

Attention: Form 4419 must now be electronically filed if you are requesting an original TCC. (See E-File Requirement for Form 4419, below.) On December 6, 2019, the FIRE system will be shut down for approximately one month. This means, if you don't already have a TCC and you plan to e-file 1099s this January, you should submit Form 4419 via the FIRE System before December 6th.

For information on how to use the W2/1099 e-file add on, see the Payroll System help file and the following videos on our Instructional Video page:

Don't forget: The deadline for filing—either electronically or by mail—W-2s and Forms 1099-MISC reporting nonemployee compensation is January 31st.

E-File Requirement for Form 4419
Last month the IRS announced that, "As of October 1, 2019, Form 4419 is mandated to be electronically filed when requesting an original TCC." (Emphasis added.) A TCC (Transmitter Control Code) is required to e-file information returns via the FIRE System.

If you already have a TCC, you can submit a paper Form 4419 to:

  • Revise current TCC information, or
  • Request an additional TCC for a form type listed on Form 4419, Block 8.

For more information, see About Form 4419 on the IRS website.

Attention: The IRS advises you to allow 45 days for processing Form 4419. On December 6, 2019, the FIRE system will be shut down for approximately one month. This means, if you don't already have a TCC and you plan to e-file 1099s this January, you should submit Form 4419 via the FIRE System before December 6th.

Envelope B and Form 1099
W2/1099Our 3-7/8" x 8-3/8" double-window Envelope B is designed for mailing the 3-up 1099 recipient copies generated by our W2/1099 program. The envelope is not wide enough to accommodate a standard 8-1/2 by 11 inch sheet of paper, but it is just the right width for our 1099 3-up perforated stock, once the vertical tear strip has been removed.

Of course, you can print your 1099's on standard paper and cut them down to size. Or you can use standard envelopes and afix labels. But why not save yourself some work? Together, our 1099 3-up perforated stock and Envelope B are a great buy—especially when you order before October 31st and take 10% off the regular price. Click here to order.
